For practices

The pilot is one workflow, run for six weeks at one practice, supervised and measured against how you do it today. It's for UK practices of 5 to 20 staff, with a partner who'll own the review. Send an enquiry or email us today.

Colleagues at a round table in a small practice read through papers, a Cast & Rule folder and mug on the table.

Choose one workflow

MTD client review

Which clients' quarterly updates need attention, the evidence behind each, and draft chasers for missing records. Your reviewer checks who's in scope, the dates and the wording, and submission stays in your MTD-recognised software. For 2026–27, HMRC doesn't charge penalties for a missed quarterly-update deadline, but the records and updates are still required.

A management pack

One entity, one source we support and a fixed format, with totals checked against the source and commentary linked to the figures. Your partner approves the explanation and the release to the client.

Pilot

A six-week supervised pilot of one workflow

Is your practice a fit?

  • A UK practice of 5 to 20 staff, normally two to five partners
  • An MTD for Income Tax sole-trader and landlord book, or monthly management packs
  • Records in Xero, or reliable exports from your ledger
  • A named reviewer responsible for accepting the output

Not a fit yet

  • Practices that need filing or sending done automatically
  • Work with no human reviewer
  • Write access to practice software we don't support
  • Several workflows at once

What we provide

  • Set-up of the system for the agreed workflow
  • Supervision through the six weeks, with a named contact
  • A written findings report, including what went wrong
  • A case study only if you want one. It needs your separate written consent, and saying no doesn't affect your pilot
  • A measured result for your own practice: net time, errors and cost

How the six weeks run

  1. Before access: agree the scope

One workflow, an agreed set of clients, the reviewer, permission to use the data, costs and the exit, all in writing. Nothing starts until we've shown you the set-up and its controls.

  2. Week 1: baseline

We time how your practice does the work today, on typical items, and check the quality of the source records.

  3. Weeks 2 to 5: alongside your process

The Clerk prepares; your reviewer checks and corrects. Your existing process carries on alongside. Cast & Rule sends nothing to a client and files nothing with HMRC. Release stays manual, in your own software.

  4. Week 6: results and exit

Net time, including review and corrections, errors caught and running cost, set against week 1. You decide: stop, change things, carry on under agreed terms, or try a second workflow. Exporting or deleting the pilot data is part of the exit.

Enquire about the pilot

Tell us about your practice and the workflow you'd like to try first. We need only your name, your practice, a work email, its size and that workflow; anything else is optional. Please leave out any client information.

What happens next

  1. A partner replies

A partner reads your enquiry and answers it personally. We use your details only to reply to you.

  2. We check the fit together

A few questions about how your practice does the work today and the workflow you chose, so we can both see whether a pilot makes sense.

  3. The scope, in writing

If it fits, the workflow, clients, reviewer, costs and exit are agreed in writing. Nothing starts until you've seen the set-up and its controls.

Pilot enquiry

We reply personally, usually within two working days. No marketing unless you ask for it, and please don't include client information.

A partner's morning

  1. The Desk shows three quarterly updates prepared overnight, one with a query flagged in plain words.
  2. The partner opens the exception, reads the evidence and asks for a correction.
  3. Two updates are ready for the partner to rule off.

After the pilot, we keep building with you

The pilot is where the partnership starts. If the first workflow is accepted and the numbers work for both sides, we add the next one, built around how your practice works.

Questions partners ask

Questions about a pilot

What does a pilot cost?

We set out any fee, hardware and support costs in writing, with the scope, who does what and how it ends, before anything starts.

Do we need to buy hardware?

Yes, one machine in the office. You can buy it to our specification or we can supply it set up. There are two sizes: a compact desktop for everyday work and a high-memory workstation for heavier jobs. We confirm sizes and prices from our own testing before any pilot starts.

How much time will it save?

The hours estimator works it out from your own numbers, and the pilot measures it at your practice.

Do we have to change our practice software?

No. Cast & Rule works alongside the software you already use. The pilot starts from an export or read-only access, and filing stays in your existing MTD-recognised software.

Can we pilot every workflow at once?

No. One workflow per practice first: a review of a group of clients' MTD quarterly updates, or a management pack. More follow only if the first is accepted and the numbers work for both sides.

What if it does not work for us?

You stop. At week six we review the results together and agree whether to stop, change things, carry on under agreed terms, or try a second workflow. Exporting or deleting the pilot data is part of the exit.

Is our client data used to train models?

No. We don't train or adjust models on your clients' content; the AI reads it only to do the task you asked for. A model tuned to your firm uses only material a person has approved and redacted, and only with your approval.
